the challenge

donezo entered a saturated market — task management tools are everywhere. their differentiator was supposed to be simplicity, but the initial product had gradually accumulated features until it resembled the very tools it aimed to replace. the settings page alone had 47 toggles.

the team was stuck in a paradox: every feature existed because a user requested it, but the sum of all features was driving new users away. they needed someone to make difficult decisions about what to keep, what to hide, and what to cut entirely.

our approach

we began with a ruthless audit. of 47 settings, 31 had less than 3% usage. of 12 main navigation items, users spent 89% of their time in just four. the data made the decisions for us — we restructured around what people actually use, not what the feature matrix promised.

the new dashboard opens with four summary cards — total projects, ended, running, pending — providing an instant health check. below, a project analytics chart uses a distinctive forest green palette that feels calm and focused, a deliberate contrast to the aggressive reds and blues dominating the category.

team collaboration was given first-class status. instead of burying it in settings, we surfaced active team members and their current assignments directly on the main dashboard. reminders and upcoming meetings sit adjacent, creating a unified "what's happening now" view that eliminated the need for separate standup tools.

the time tracker was relocated from a buried menu to a persistent widget in the bottom corner — always visible, never intrusive. starting and stopping time tracking became a single click, removing the friction that caused most users to abandon the feature entirely.

the outcome

internal adoption at pilot companies reached 91% within the first month — significantly above the 60-70% typical for project management tool rollouts. weekly task completion rates increased by 67%, not because people worked harder, but because the interface removed obstacles between intention and action.

the most unexpected result was a 35% reduction in status update meetings. managers reported that the dashboard's real-time visibility into team progress made many check-in meetings redundant. donezo didn't just organize work — it eliminated the meta-work around organizing work.
